You can have a busy month and still feel unsure whether there is enough cash to pay your own bills. The invoice total looks healthy, but it mixes payments due next month with balances that have been overdue for weeks.

An invoice aging report separates those situations. For a freelancer or small agency, it does not have to be an elaborate dashboard. A reliable list showing what is owed, how late it is and what happens next is enough to make a better decision.

This guide covers accounts receivable: invoices your customers owe you. Some search results use “invoice aging” for supplier bills in accounts payable. Those answer a different question. Here, the goal is to decide which customer balances need attention without treating every unpaid invoice as a problem.

What an invoice aging report tells you

The report groups outstanding invoice balances by their age relative to a chosen date. For collection work, use days past the due date rather than quietly treating the issue date as the start of delinquency.

An invoice issued recently on long payment terms may still be current. An older invoice with a revised agreement may need an explanatory note. State the method at the top of the report so another person can understand it without reverse-engineering your spreadsheet.

Aging shows exposure, not certainty. An old balance is not automatically uncollectible, and a current invoice is not guaranteed to arrive on time. Use the report to organise follow-up, not to promise cash you have not received.

Start with an accurate source list

Collect invoice number, customer, issue date, due date, original amount, payments received, credits and remaining balance. Keep currency in its own field. Add the current owner and a link to the source invoice if your system supports it.

Do not age the original total when a partial payment has already reduced the balance. Do not include a cancelled duplicate just because it still appears in an export. Check bank receipts and payment-processor records before deciding a customer has ignored you.

For mixed currencies, report separate totals or disclose the exchange-rate method and date. Adding dollars and euros into one unlabeled number makes the report look simpler while making it less useful. The source accounting record should remain authoritative.

Choose buckets that match your decision

A simple starting structure is current, 1–30 days overdue, 31–60, 61–90 and more than 90. These are suggested working categories, not a legal timetable or a claim that all businesses use the same method.

Calculate days overdue as the report date minus the due date, then put negative values and invoices due that day into the current group. If your contract or accounting policy uses another convention, write it down and apply it consistently.

The buckets help you see patterns; they do not replace invoice-level judgement. A disputed balance and a forgotten invoice might sit in the same age band but need very different responses.

A worked example without imaginary benchmarks

The following is an invented teaching example, not customer data, a testimonial or an industry average. Assume every invoice is in euros and the report has one consistent snapshot date.

Invoice Open balance Days past due Bucket Next step Example A €600 Not yet due Current Check delivery and recipient Example B €1,000 12 1–30 Routine reminder Example C €800 44 31–60 Confirm payment owner and date Example D €300 71 61–90 Review documented dispute

The total open balance is €2,700. The overdue portion is €2,100; the current €600 should not be described as late. The disputed €300 remains visible in the report, but routine chasing should not pretend the dispute does not exist.

The point is not the bucket labels. It is that one total now produces distinct actions. You can ask about a payment date on Example C while assigning a human to Example D.

Add context the age column cannot provide

Useful status notes include awaiting a purchase order, wrong billing address, promised payment date, disputed scope and partial payment received. Keep the notes factual and short. “Client unreliable” is an opinion; “accounts requested corrected entity name” gives the next person something to do.

Record the last contact and next review date. A balance can be old while an agreed payment plan is being followed correctly. Conversely, a recently overdue invoice can reveal an urgent administrative problem if it was never delivered to the right recipient.

Avoid treating email opens as proof that someone approved a bill. Delivery and tracking signals are not the same as acceptance or payment. Ask for clarification when the next action depends on the customer's position.

Turn each bucket into a sensible workflow

For current invoices, focus on preventing avoidable friction: accurate references, working payment details and the correct accounts-payable contact. Do not send an overdue demand before the invoice is overdue.

For newly overdue invoices, check for payment already received and send a concise reminder with the invoice reference and current balance. For older balances, ask for a named owner and concrete expected payment date rather than endlessly repeating “just checking in.”

For disputed invoices, pause routine chasing and follow a separate review process. For seriously aged or material balances, consider appropriate accounting or legal advice. Aging alone does not tell you when to write off a debt or begin formal collection.

Where DueChat fits, and where it does not

DueChat's homepage describes overdue and outstanding invoice summaries, a 7/14/30-day reminder ladder, connected Stripe checkout and per-invoice pause controls. Those product statements were checked on 6 November 2026.

This guide does not claim DueChat generates the custom aging table shown above or exports every field in this article. Use your accounting system or a reconciled spreadsheet for the report you need, and check the homepage feature summary and actual app against your exact requirements.

DueChat can be evaluated for the follow-up work that comes after prioritisation. If you import from Xero or QuickBooks, reconcile the records first and avoid running conflicting reminder ladders in multiple products. See the homepage import description.

Review the report on a repeatable schedule

Pick a regular review point and use the same snapshot method each time. Assign actions while reviewing, rather than producing a report nobody opens. A solo operator can keep a short action list; an agency needs explicit ownership so account management and finance do not send competing messages.

Look for process causes: one customer missing purchase orders, one project manager forgetting acceptance records, or payments left unreconciled. Fixing those handoffs can matter more than adding another age band.

Keep earlier snapshots if you need to understand movement over time. Do not compare a clean current report with an old, unreconciled export and call the difference an improvement caused by software.

FAQ

Is aging based on invoice date or due date?

Both conventions exist. This guide uses days past the due date for collection decisions. Label the method and ensure it matches the report you are reading.

Does an aging report predict cash flow?

Not by itself. It shows outstanding exposure. A forecast also needs realistic timing assumptions, known disputes and payment commitments, not just the total value of invoices.

Can I build it in a spreadsheet?

Yes, if the source data is accurate and the formulas are checked. Reconciliation and clear ownership matter more than a sophisticated design. Restrict access because the file contains customer financial information.

Should I chase the oldest balance first?

Not automatically. Consider amount, dispute status, promised dates and the action required. A large invoice blocked by one missing reference may deserve attention before a smaller balance already under a managed arrangement.
